Terms and Conditions
Please carefully read the text before you start filling Apply for a scholarship.
Scholarships are intended for those who:
1. Are unable to pay the full, or only partial, costs associated with Conference participation;
2. And/or are able to make a significant personal or community contribution to the Conference program.
3. Are representatives of Eastern Europe and Central Asia region.
At present time submission of the scholarship application is open for the general category, all participants will be evaluated according to a standard criteria.
Additional (separate) competition for the young scientists will be open on 1 July to 2009.
Decisions regarding the awarding of scholarships will be made by the Scholarship Committee, which includes representatives of the Conference Organizing Committee and Conference Programme Committee.
The Scholarship Committee will consider only applications received from 00-00 hours Moscow time on 12 May , 2009 to 24-00 hours Moscow time on 31 July 2009.
Applications received before or after the abovementioned period will be annulled.
All applicants will receive response as to the outcome of their application no later than 15 September 2009. The Scholarship Committee will not engage in correspondence with applicants to discuss decisions taken regarding their application.
The total scholarships allocated is 450.This number includes members of the Conference Organizing Committee and Conference Programme Committee , speakers participating in the official programme of the Conference, and the scholarship programme winners defined by the scholarship competition.
You can apply for a scholarship only once.
You must have reached the age of 18 before the opening of the Conference (28 October 2009).
All correspondence between the applicant and the Conference Secretariat will be conducted by e-mail. Please ensure that the e-mail address(es) indicated on the application form is/are valid. Do not forget to check your e-mail at least once every other day.
Scholarships may cover the following expenses:
- Registration fees
- Travel (flight or train tickets (coupe)
- Hotel accommodations (double room)
- Modest travel allowance
Attention!
If the request to cover specific expenses is not indicated in your application, we will not be able to provide reimbursement at a later point in time.
If you do not request assistance in your application to cover Conference registration fees, you will be expected to pay them independently. Failure to do so will mean that you will not be able to participate in the Conference, or receive your scholarship award.
As the number of scholarships is limited, we strongly recommend that you register for the Conference independently and seek other possibilities to cover the expenses related to your participation in the Conference.
Please note that it is not possible to refund paid registration fees. However, fees can be re-issued to other individuals prior to 29 September 2009. Please refer to Offer (Public agreement for service provided) for additional details concerning the payment of registration fees.
Please be aware that in applying for a scholarship, you are required to be in Moscow on 28, 29 and 30 October 2009. If a scholarship recipient is unable to travel on the dates booked, the scholarship will be withdrawn.
The Secretariat will reserve hotel accommodations for scholarship recipients for the period of 12:00 pm 27 October 2009 to 12:00 pm 31 October 2009.
Some conference participants may receive a partial scholarship, whereby they will be required to pay part of their related Conference expenses (the other part will be covered under the scholarship program).
Decisions regarding the awarding of scholarships will be made by the Scholarship Committee, which includes representatives of the Conference Organizing and Program Committees.
Incorrect scholarship applications will not by considered by the Scholarship Committee.
Applications that contain incomplete or inaccurate information about the applicant (i.e. name, date of birth, passport number, address, telephone, e-mail) will not by considered by the Scholarship Committee.
The confirmation process for scholarship applications and travel arrangements for scholarship recipients:
1. All applicants shall receive response as to the outcome of their application before 15 September 2009.
2. Applicants who are awarded a scholarship must confirm their acceptance within a four day period.
3. The Secretariat contacts the scholarship recipient via e-mail and telephone, indicated in the application form.
4. The Secretariat signs an agreement to cover the scholarship with the organization, which represents the scholarship recipient.
5. The Agreement should be signed by the Director of the organization, which represents the scholarship recipient. The original of the Agreement should be mailed to the Secretariat.
6. The Secretariat receives the original of the contract and provides the scholarship recipient with the hotel accommodation during the days of the Conference, and sends tickets (or informs how to get e-ticket).
7. The copies of the tickets of the scholarship recipient should be presented on the day of the arrival (on the reception in the hotel). In case, scholarship doesn’t cover the accommodation in Moscow, the copies of the tickets should be presented to the Secretariat during the 3 days of the Conference.
8. The Secretariat books the hotel (without according with the scholarship recipients) from 27 until 31October 2009.
9. The Secretariat is responsible for informing scholarship recipients as to their hotel reservations (dates, hotel address).
10. If a scholarship recipient fails to respond to the messages sent by the Secretariat (confirmation of scholarship and receiving the tickets) his/her scholarship will be withdrawn.
In order to submit a scholarship application you must first:
1. Pre-register in the section Registration-Application
2. Complete the scholarship application in the section Scholarship-Application
Applications are accepted only in Russian language.
